  4. The studio makes every effort to ensure that its services are provided in accordance with hygiene and safety principles and applicable professional standards.

§2. Client Age and Consent of Minors

  1. Tattoos are performed on persons who are at least 15 years old, provided that written consent from a parent or legal guardian has been obtained.
  2. Piercing is performed on persons who are at least 7 years old; for clients of this age, the service is limited to earlobe piercing.
  3. In the case of a minor, the parent or legal guardian must:
    • be physically present at the studio during the procedure,
    • personally sign the relevant consent form,
    • provide proof of identity if the studio considers it necessary.
  4. Consent provided solely electronically, by telephone or through a third party may not be accepted.
  5. The studio does not perform the following procedures on minors in particular:

    • microdermals,
    • surface bars,
    • tunnels.
  6. The studio does not perform male intimate piercings.
  7. The studio reserves the right to refuse to perform a procedure if there are reasonable doubts regarding the client’s age, the identity of the person giving consent or the scope of their authority.

§3. Appointment Booking

  1. Appointments may be booked:
    • by telephone,
    • via social media messages,
    • by email at krakow@kingsofink.pl,
    • via the Booksy platform, if the relevant service and appointment time are available through that system,
    • in person at the studio,
    • through other contact channels indicated by the studio.
  2. Booking an appointment requires agreeing on the date and type of service.
  3. In the case of a tattoo, the studio may require a deposit to confirm the appointment.
  4. An appointment is considered reserved once it has been confirmed by the studio and, where required, once the deposit has been credited.
  5. The client is required to provide true and up-to-date contact details.
  6. Appointments booked through Booksy are also subject to the booking rules and terms presented in that system, subject to the provisions of these Regulations.
  7. The client is required to read the information provided by the studio before the appointment, including the preparation instructions.

§4. Tattoo Booking Deposit

  1. When booking a tattoo appointment, the studio may require a deposit.
  2. Any payment made to confirm a tattoo session appointment is treated as a deposit, regardless of the description used by the client in the bank transfer title, including “advance payment”, “prepayment” or a similar term.
  3. The deposit is credited towards the price of the service.
  4. The amount of the deposit is determined individually or specified by the studio during the booking process.
  5. The deposit is non-refundable in the event of:
    • the client failing to attend the scheduled appointment,
    • cancelling the appointment in violation of the deadlines specified in these Regulations,
    • exceeding the permitted number of appointment changes,
    • withdrawing from the tattoo for reasons attributable to the client,
    • the procedure being unable to take place because the client concealed material information concerning their health or contraindications.
  6. Any unused deposit expires after 6 months:
    • from the date of the last completed session, or
    • from the date on which the deposit was paid, if no session has taken place.
  7. After this period, the use of the deposit requires an individual arrangement with the studio.
  8. If the studio cancels an appointment for reasons attributable solely to the studio and does not offer the client another suitable date, the deposit will be refunded, subject to situations in which the cancellation or refusal to provide the service resulted from the client’s actions or omissions.

§5. Rescheduling, Cancellation and Failure to Attend

  1. The client may reschedule an appointment up to 2 times without losing the deposit.
  2. Rescheduling without losing the deposit is possible provided that the studio is informed no later than 4 calendar days before the scheduled appointment.
  3. A request to reschedule made later than the deadline specified above may result in the loss of the deposit.
  4. Failure to attend a scheduled appointment without prior notice to the studio results in the loss of the deposit.
  5. If the client requests another rescheduling beyond the permitted limit, the studio may refuse to make a further booking without payment of a new deposit or may refuse to book another appointment.
  6. If the client is more than 30 minutes late, the studio may:
    • shorten the duration of the procedure,
    • charge an additional fee,
    • reschedule the appointment,
    • refuse to perform the procedure.
  7. If an appointment is rescheduled due to significant lateness on the part of the client, the deposit may be retained.
  8. The studio recommends that, if an appointment needs to be cancelled or rescheduled, the client contact the studio as early as possible.

§6. Tattoo Procedures

  1. Before getting a tattoo, the client is required to provide the tattoo artist with any information that may affect their safety or the healing process.
  2. In particular, the client should inform the studio about:
    • illnesses and medical conditions that may be relevant to the procedure,
    • medications being taken,
    • allergies,
    • a tendency to faint,
    • previous problems with wound healing,
    • skin conditions affecting the area where the tattoo is planned,
    • any other circumstances that may affect the procedure or the healing process.
  3. Contraindications and information concerning the client’s health are also included in a separate consent form and in information materials made available before the appointment.
  4. The studio may refuse to perform a tattoo or reschedule the appointment if:
    • the client’s health condition may pose a risk,
    • the skin in the treatment area is damaged, infected or affected by a medical condition,
    • the client has not followed the preparation instructions,
    • other circumstances exist that may pose a risk to the safety of the client or the person performing the procedure.
  5. The tattoo is performed based on a design approved by the client, taking into account technical possibilities, anatomy and the assessment of the person performing the procedure.
  6. The final adaptation of the design to the body, its size, placement, proportions and any necessary modifications may be determined during the consultation or immediately before the procedure.
  7. The studio may refuse to perform a tattoo without providing a detailed reason, in particular for artistic, technical, anatomical, safety-related reasons or due to the anticipated final result.
  8. If the studio refuses to perform a tattoo for reasons attributable to the studio, the deposit will be refunded, subject to situations resulting from the client’s conduct or concealment of relevant information.

§7. Tattoo Designs and Copyright

  1. Tattoo designs prepared by the studio’s artists are protected by copyright law.
  2. Without the author’s prior consent, it is prohibited in particular to:
    • copy the design,
    • distribute the design,
    • resell the design,
    • provide the design to another person for execution,
    • use the design for commercial purposes,
    • create adaptations or modifications that infringe the author’s rights.
  3. Having a tattoo performed based on a design does not constitute a transfer of the author’s economic copyright in the design to the client.
  4. The client may provide comments or request changes to the design before the tattoo is performed; however, the final scope of changes and whether they can be implemented are determined together with the artist.
  5. The studio does not guarantee that it will reproduce a design created by another person if doing so would infringe copyright, ethical principles or the studio’s professional standards.

§8. Payments and Additional Sessions

  1. The price of the service is determined individually or presented to the client before the procedure begins.
  2. The final price may depend in particular on:
    • the size of the tattoo,
    • the complexity of the design,
    • the location of the tattoo,
    • the working time,
    • the number of sessions required,
    • the type of jewellery used,
    • the scope of additional services.
  3. Large or complex tattoo designs may require several sessions.
  4. Additional sessions, additional design elements and work exceeding the previously agreed scope may be subject to an additional fee.
  5. Wherever possible, any additional costs should be agreed with the client before they are incurred.
  6. Discount codes, promotions and other discounts must be reported no later than at the time of booking. A discount reported at a later stage may not be taken into account.
  7. At the client’s request, the studio may provide information or certificates relating to the pigments used, to the extent that the studio has such documents or information.

§9. Tattoo Aftercare, Healing and Touch-Ups

  1. After the tattoo has been completed, the client receives instructions concerning aftercare and the healing process.
  2. The client is required to follow the instructions provided by the studio or the tattoo artist.
  3. During the healing period, the client should avoid activities that may negatively affect the appearance of the tattoo, including in particular:
    • scratching or removing peeling skin,
    • excessive soaking of the tattoo,
    • using swimming pools, saunas and bathing areas in accordance with the aftercare instructions,
    • exposing a fresh tattoo to sunlight,
    • using cosmetics or other preparations that have not been recommended.
  4. The studio is not responsible for deterioration of the tattoo resulting from failure to follow aftercare instructions, injuries, infections, the client’s use of inappropriate products or other actions on the part of the client.
  5. Free tattoo touch-ups are available within 2 months from the date the tattoo was performed, provided that the touch-up is due to the natural healing process and is not the result of the client’s negligence.
  6. A free touch-up does not include, in particular, situations where deterioration of the tattoo results from:
    • improper aftercare,
    • scratching or damaging the tattoo,
    • exposure to sunlight,
    • failure to follow instructions,
    • self-inflicted interference with the tattoo,
    • injuries or other factors beyond the studio’s control.
  7. Tattoos placed in areas particularly prone to friction or fading, including the hands, fingers, elbows, feet and wrists, may require paid touch-ups.
  8. Paid touch-ups may also be necessary in the case of:
    • cover-ups,
    • lightening or covering existing tattoos,
    • tattoos performed over scars,
    • designs requiring a particularly high number of sessions,
    • re-inking or refreshing a tattoo where this does not constitute a free touch-up.
  9. Re-inking or refreshing a tattoo, where it is not covered by a free touch-up, is a paid service. The minimum price for such a service is PLN 150, unless the studio determines a different price.
  10. The final determination of whether a particular case qualifies for a free touch-up rests with the tattoo artist, taking into account the cause of the changes requiring correction.

§10. Piercing Procedures

  1. Piercing is performed following an assessment of the piercing site, the client’s anatomy and the possibility of safely performing the procedure.
  2. The piercer may refuse to perform a piercing or propose an alternative solution for:
    • anatomical,
    • health-related,
    • hygienic,
    • technical,
    • safety-related reasons,
    • reasons relating to the anticipated improper or difficult healing process.
  3. The piercer may refuse to perform the procedure if the client does not follow instructions, behaves in a manner that makes it difficult to perform the procedure safely or is in a condition that may affect their safety.
  4. Piercing is not performed on persons under the influence of:
    • alcohol,
    • drugs,
    • intoxicating substances,
    • psychoactive substances,
    • other substances that may affect consciousness, judgment or bodily reactions.
  5. In the event of an infection, fever, feeling unwell or other symptoms of illness, rescheduling the appointment is recommended. The studio or piercer may refuse to perform the procedure if they determine that it would not be safe to do so.
  6. The client is required to inform the piercer of any relevant circumstances concerning their health, medications, allergies, previous healing problems and other factors that may be relevant to the procedure.
  7. During the healing period, the client should not remove, replace or shorten the jewellery themselves without consulting the piercer.
  8. If concerning symptoms occur, the client should contact the studio or piercer. If the symptoms indicate a possible infection, allergic reaction or another complication requiring medical assessment, the client should also contact a doctor.

§11. Piercing Jewellery and Jewellery Changes

  1. Jewellery intended for the initial piercing is included in the price of the service unless otherwise agreed before the procedure.
  2. Jewellery used for initial piercings is made of implant-grade titanium or another material approved by the studio for the particular type of piercing.
  3. The type, size, shape and method of fitting the jewellery are selected taking into account the client’s anatomy, the piercing location and the requirements of the healing process.
  4. The client may provide their own jewellery only for a jewellery change in a fully healed piercing and after prior approval by the piercer.
  5. The studio may refuse to insert the client’s own jewellery if:
    • its material or origin is questionable,
    • it is damaged,
    • it is unsuitable for the particular piercing,
    • appropriate hygiene conditions cannot be ensured,
    • its size or construction may cause problems with healing or use.
  6. A jewellery change after the piercing has healed is free of charge as a service; however, the client is responsible for the cost of the new jewellery. The price of new jewellery starts at PLN 20, depending on the model, material and manufacturer.
  7. Downsizing, meaning shortening the jewellery after swelling has decreased and the piercing has stabilised, is considered a form of jewellery change.
  8. Downsizing is free of charge as a service for Kings of Ink clients. For clients who have had their piercing performed elsewhere, the service costs PLN 30. In both cases, the client is responsible for the cost of the new jewellery.
  9. A jewellery change, including downsizing, is treated as a separate service and requires an appointment to be arranged in advance.
  10. Jewellery changes should take place within the timeframe indicated by the piercer. Changing the jewellery independently and too early may lead to irritation, prolonged healing or other complications.

§12. Piercing Aftercare and Check-Ups

  1. After a piercing has been performed, the client receives a written leaflet or instructions containing aftercare recommendations.
  2. The information provided to the client may include, in particular:
    • how to clean the piercing,
    • recommended products,
    • activities that should be avoided,
    • an approximate date for a check-up,
    • contact details for the studio,
    • the size and type of jewellery inserted.
  3. A piercing check-up is generally recommended approximately one month after the procedure, unless the piercer specifies a different date.
  4. Piercing check-ups are free of charge for Kings of Ink clients.
  5. The cost of a check-up of a piercing performed elsewhere is PLN 50.
  6. Jewellery changes and downsizing are separate services and are not automatically included in a check-up unless otherwise agreed by the studio.
  7. The client should attend a check-up earlier if concerning symptoms occur, such as:
    • increasing pain,
    • severe swelling,
    • increasing redness,
    • discharge with an unusual appearance or smell,
    • fever,
    • displacement of the jewellery,
    • excessive embedding of the jewellery,
    • other symptoms causing concern.
  8. A studio check-up does not replace medical consultation. If an infection or other serious complication is suspected, the client should contact a doctor.

§13. Accompanying Persons and House Rules

  1. The client may attend an appointment with an accompanying person; however, for organisational, hygiene and safety reasons, the studio may limit the number of people present during the procedure.
  2. The studio may refuse to allow an accompanying person to enter the treatment room.
  3. Children and persons not participating in the procedure should not remain at the workstation unless the studio gives its consent.
  4. The client and accompanying persons are required to maintain order, observe hygiene rules and follow staff instructions.
  5. Without staff permission, it is prohibited to touch:
    • tools,
    • equipment,
    • jewellery prepared for the procedure,
    • disposable materials,
    • work surfaces,
    • other equipment or items at the treatment workstation.
  6. The studio may refuse service to a person who behaves aggressively or abusively, poses a safety risk or disrupts the work of staff and other clients.

§14. Complaints

  1. Complaints concerning services provided by the studio should be submitted in writing by email to: krakow@kingsofink.pl
  2. A complaint should include, in particular:
    • the client’s first and last name,
    • the date on which the service was performed,
    • a description of the problem,
    • the expected way of resolving the matter,
    • photographic documentation, where possible.
  3. A complaint should be submitted as soon as reasonably possible after the problem is noticed.
  4. In the case of a tattoo, the client should, where possible, report the problem before carrying out any self-directed alterations or interference with the tattoo.
  5. In the case of a piercing, the client should contact the studio or piercer before independently removing, changing or modifying the jewellery.
  6. The studio will consider the complaint within a reasonable period, taking into account the nature of the matter and the need to obtain additional information.
  7. A complaint does not cover consequences resulting from failure to follow aftercare instructions, self-directed alterations, injuries, improper use, concealment of contraindications or other causes attributable to the client.

§15. Photographs and Publication of the Client’s Image

  1. Completed tattoos and piercings may be photographed for the purposes of the studio’s portfolio, social media, website and promotional materials.
  2. Publication of the client’s image requires separate consent given on a separate consent form at the studio.
  3. Refusal to consent to the publication of the client’s image does not affect the client’s ability to use the studio’s services.
  4. The rules governing the publication of photographs and the client’s image are set out in a separate consent form.

§16. Client Responsibility

  1. The client is responsible for providing true and complete information concerning their health, medications, allergies, contraindications and other circumstances that may affect the safety of the procedure.
  2. The client is required to follow the instructions provided by the studio or the person performing the procedure.
  3. The studio is not responsible for consequences resulting from:
    • the client’s concealment of material information,
    • failure to follow preparation and aftercare instructions,
    • independently manipulating the tattoo or jewellery,
    • mechanical injuries,
    • improper aftercare,
    • the use of products that have not been recommended,
    • undergoing other procedures in the area of the tattoo or piercing without consulting the studio,
    • actions or omissions by the client affecting the healing process.
  4. The client undertakes to inform the studio without undue delay if any concerning symptoms or complications related to the service occur.
  5. If symptoms occur that require medical assistance, the client should seek medical advice. Contact with the studio does not replace medical care.

§17. Final Provisions

  1. The studio reserves the right to refuse to provide a service if performing it could violate safety or hygiene rules, applicable law, professional standards or generally accepted standards of conduct.
  2. The studio may amend these Regulations for important reasons, in particular in the event of:
    • changes in applicable law,
    • changes to the scope of services,
    • changes to organisational arrangements,
    • the need to clarify the provisions of the Regulations,
    • safety or hygiene considerations.
  3. The current version of the Regulations is available at the studio and on the studio’s website.
  4. Matters not covered by these Regulations are governed by the applicable provisions of Polish law.
  5. These Regulations enter into force on the date they are published or made available to clients.
